Vietnamese for Logistics: Port, Customs and Warehouse Vocabulary, Pronouns and Dialogues
On this page

A truck driver rings you from the gate of Cát Lái port in Ho Chi Minh City: 「Em ơi, anh tới cổng rồi, nhưng bảo vệ nói chưa có lệnh. Sao vậy em?」 You catch tới cổng and lệnh, so you know he is at the gate and something called a lệnh is missing. What you may not catch is that he has just called you em and himself anh, and that the missing paper is the delivery order, which the shipping line issues after you pay a handful of fees.

Vietnamese grammar has no conjugation and no articles, which helps. The difficulty in logistics sits elsewhere. Every call starts with picking the right pronoun for someone older or younger than you, six tones turn words you already know into different words, and the paperwork has its own vocabulary, from vận đơn to luồng đỏ, that no general course teaches.

This article is for foreign coordinators, forwarders and buyers who work with Vietnamese ports, truckers, customs agents and warehouses, and for Vietnamese-heritage readers whose family business ships goods. You get vocabulary in six tables that follow a shipment, a short guide to pronouns and tones, five grammar points, two model dialogues and a practice plan. The word set to play right away is at the end.

A day around the port: who you call and what they say

Pronouns: you choose them by age and role

Vietnamese uses family words as pronouns. You choose one for the other person and one for yourself according to who is older and by how much. As a foreign speaker you can fall back on tôi, a neutral "I", and still call the other person by the right family word. The table shows common patterns in port and office work, though they shift a little between the north and the south.

The personCall themCall yourself
Truck driver or warehouse worker, older than youanh (or bác if much older)em, or tôi
Customs agent or forwarder, a woman a few years olderchịem, or tôi
Customs officer or manager, much oldercô (woman), chú (man), or báccháu, em, or tôi
Your own bosssếp, or anh and chị with the nameem, or tôi
Colleague of your agebạn, or the namemình, or tôi
Younger staff memberemanh or chị

Avoid bạn with someone clearly older, since it is a word for peers. Two small words carry most of the politeness: ạ at the end of a sentence shows respect to an older person, and nhé softens an instruction, close to "okay?". For a polite "yes", southerners say dạ and northerners say vâng.

Tones: six of them, and a few pairs that matter on the dock

Every syllable carries a tone, written with a mark, and a wrong tone gives a different word. In logistics several pairs sit close together, so it is worth learning them as pairs.

Word and toneMeaningIts neighbourMeaning
thuế (rising)tax, dutythuê (level)to rent, to hire
kho (level)warehousekhó (rising)difficult
chở (asking)to carry, to haulchờ (falling)to wait
chợ (heavy)marketchởto carry
hàng (falling)goods, cargohạng (heavy)class, grade
giá (rising)pricegià (falling)old

In many southern accents the asking tone (hỏi) and the creaky tone (ngã) sound alike, so you will not always hear a difference. Context saves you: no one will think the driver says "market" when he says he is carrying a container. The pair that matters most for money is thuế and thuê, because a sentence about tax and a sentence about renting a truck look almost the same on paper.

Customs lanes: green, yellow and red

When a declaration is filed, the customs system assigns a lane, called phân luồng. You will hear the lane name before anything else, because it decides what happens next.

LaneVietnameseWhat happensWhat people say
greenluồng xanhgoods are released, usually without inspectionTờ khai luồng xanh rồi.
yellowluồng vàngcustoms checks the documentsTờ khai luồng vàng, phải nộp thêm giấy tờ.
redluồng đỏcustoms inspects the goods themselvesTờ khai luồng đỏ, phải kiểm hóa.

Luồng đỏ means a customs officer opens the container, so the delivery plan moves by a day or more. Learn to hear the colour in a phone call, since the next sentence you say depends on it.

Vocabulary by stage of the shipment

The six tables follow a shipment from the parties involved to documents, customs, the warehouse and the problems that come up. All 43 words of the practice set are here, plus extras you will hear every week such as tài xế, xe đầu kéo, lệnh giao hàng, phí nâng hạ and luồng đỏ. Examples are written as you would say them in a call, using anh and em or tôi.

The parties

WordMeaningExampleEnglish
lô hàngshipmentLô hàng này đến cảng sáng mai. This shipment arrives at the port tomorrow morning.
đại lý giao nhậnfreight forwarderĐại lý giao nhận đã đặt chỗ trên tàu cho chúng tôi.The forwarder has booked space on the ship for us.
người gửi hàngshipperNgười gửi hàng ghi sai địa chỉ trên vận đơn.The shipper wrote the wrong address on the bill of lading.
người nhận hàngconsigneeNgười nhận hàng là một công ty ở Bình Dương.The consignee is a company in Bình Dương.
đơn vị vận tảicarrierĐơn vị vận tải sẽ điều hai xe đến lấy hàng.The carrier will send two trucks to collect the goods.
nhà xuất khẩuexporterNhà xuất khẩu gửi chứng từ qua email hôm nay.The exporter sends the documents by email today.
nhà nhập khẩuimporterNhà nhập khẩu đã trả tiền đặt cọc.The importer has paid the deposit.
tài xếdriverTài xế đang chờ ở cổng.The driver is waiting at the gate.

Người gửi hàng and người nhận hàng are literally "person who sends goods" and "person who receives goods", so they are easy to remember. Many people in the industry also say shipper and consignee in English, and they mix the two languages in the same sentence, so hearing "consignee" inside a Vietnamese sentence can be normal.

Containers, ships, trucks and handling

WordMeaningExampleEnglish
containercontainerChúng tôi cần một container 40 feet.We need one 40-foot container.
tàu biểnship, sea vesselTàu biển rời cảng vào thứ Sáu.The ship leaves port on Friday.
cảngportHôm nay cảng rất đông.The port is very busy today.
xe tảitruckXe tải đến kho lúc 10 giờ.The truck reaches the warehouse at 10 o'clock.
xe đầu kéotractor unit (truck that pulls a container)Tôi cần hai xe đầu kéo vào sáng mai.I need two tractor trucks tomorrow morning.
vận tải biểnsea freightVận tải biển rẻ hơn nhưng chậm hơn.Sea freight is cheaper but slower.
vận tải hàng khôngair freightHàng gấp thì đi bằng vận tải hàng không.Urgent goods go by air freight.
bốc hàngto loadChiều nay chúng tôi bốc hàng lên xe.This afternoon we load the goods onto the truck.
dỡ hàngto unloadXe đến thì dỡ hàng ngay.As soon as the truck arrives, we unload.
chuyển tảitransshipmentLô hàng có chuyển tải ở Singapore. The shipment has a transshipment in Singapore.
palletpalletMỗi pallet xếp được 40 thùng.Each pallet holds 40 boxes.

Xe đầu kéo is the truck that pulls a container on a trailer, and people usually say it in full when ordering. Ordinary xe tải can mean a delivery truck of any size. When you order transport, say how many xe đầu kéo you need and the size of the container they will pull.

Documents and Incoterms

WordMeaningExampleEnglish
vận đơnbill of ladingBản gốc vận đơn sẽ được gửi vào ngày mai.The original bill of lading will be sent tomorrow.
hóa đơn thương mạicommercial invoiceSố tiền trên hóa đơn thương mại khác với hợp đồng.The amount on the commercial invoice differs from the contract.
phiếu đóng góipacking listPhiếu đóng gói ghi 120 thùng.The packing list shows 120 boxes.
chứng nhận xuất xứcertificate of originCó chứng nhận xuất xứ thì thuế có thể thấp hơn.With a certificate of origin, the duty may be lower.
IncotermsIncotermsHợp đồng dùng Incoterms nào?Which Incoterms does the contract use?
giá FOBFOB priceChúng tôi báo giá FOB cảng Hải Phòng.We quote the FOB price at Hải Phòng port.
giá CIFCIF priceGiá CIF đã bao gồm cước và bảo hiểm.The CIF price includes freight and insurance.
lệnh giao hàngdelivery order (D/O)Em đã đổi lệnh giao hàng chưa?Have you exchanged the delivery order yet?

Lệnh giao hàng, usually shortened to D/O, is the paper that opens the gate. The importer hands over the bill of lading to the shipping line, pays local fees, and receives the delivery order in exchange. This step is called đổi lệnh, and a driver who arrives before it is done is the sentence that opened this article.

Customs

WordMeaningExampleEnglish
thông quancustoms clearanceLô hàng đã thông quan sáng nay.The shipment cleared customs this morning.
tờ khai hải quancustoms declarationTờ khai hải quan đã được duyệt.The customs declaration has been approved.
thuế nhập khẩuimport dutyThuế nhập khẩu phụ thuộc vào mã hàng.Import duty depends on the product code.
đại lý hải quancustoms brokerXin gửi chứng từ cho đại lý hải quan. Please send the documents to the customs broker.
kiểm hóacustoms inspectionContainer này bị kiểm hóa.This container is being inspected.
mã HSHS codeMã HS quyết định thuế suất.The HS code decides the duty rate.

Mã HS is usually said letter by letter, as in English. Its first six digits are international and each country adds its own digits after them, so the code a Vietnamese broker files can be longer than the one you see in a European document. Asking 「Mã HS là bao nhiêu?」 is the fastest way to find out what duty the goods will pay.

Warehouse and stock

WordMeaningExampleEnglish
nhà khowarehouseNhà kho mở cửa lúc 8 giờ sáng.The warehouse opens at 8 a.m.
hàng tồn khoinventory, stock on handHàng tồn kho hiện còn 30 pallet.Stock on hand is now 30 pallets.
xe nângforkliftXe nâng đang được bảo dưỡng.The forklift is being serviced.
bao bìpackagingBao bì phải chịu được vận chuyển đường biển.The packaging must withstand sea transport.
nhập khoto receive into the warehouseChiều nay hàng nhập kho.The goods go into the warehouse this afternoon.
xuất khoto release from the warehouseSáng mai hàng xuất kho lúc 7 giờ.The goods leave the warehouse at 7 tomorrow morning.
kiểm kêstocktakeCuối tháng có kiểm kê.There is a stocktake at the end of the month.
kho ngoại quanbonded warehouseLô hàng đang nằm trong kho ngoại quan. The shipment is in a bonded warehouse.

Nhập kho and xuất kho differ by one word and are the most common pair in any warehouse: nhập is in, xuất is out. The same two words appear in nhập khẩu (import) and xuất khẩu (export), so learning them as a pair covers both the warehouse and the border.

Quotes, schedules and problems

WordMeaningExampleEnglish
giá cướcfreight rateGiá cước tuần này tăng.The freight rate has gone up this week.
báo giáquotationHôm nay tôi sẽ gửi báo giá cho anh.I will send you a quotation today.
phụ phísurchargeBáo giá đã gồm phụ phí chưa?Does the quotation include surcharges yet?
thời gian giao hànglead timeThời gian giao hàng khoảng 10 ngày.The lead time is about 10 days.
cắt mángcut-offCắt máng lúc 5 giờ chiều thứ Sáu.The cut-off is 5 p.m. on Friday.
dự kiến đếnestimated arrivalTàu dự kiến đến vào thứ Tư.The ship is expected to arrive on Wednesday.
chậm trễdelayTàu bị chậm trễ vì bão.The ship is delayed because of a storm.
hư hỏngdamageCó vài thùng bị hư hỏng.A few boxes are damaged.
khiếu nạiclaim, complaintChúng tôi sẽ gửi khiếu nại đến hãng tàu.We will send a claim to the shipping line.
phí lưu containerdemurrage (container storage fee at port)Nếu thông quan chậm thì sẽ bị tính phí lưu container. If customs clearance is slow, a container storage fee will be charged.
phí nâng hạlift-on, lift-off handling feePhí nâng hạ đã nằm trong báo giá.The handling fee is already in the quotation.

Cắt máng is industry slang for the cut-off, and the words do not translate in any helpful way. Forwarders say it all day, while written quotes more often show cut-off or closing time. Phí lưu container is the charge for leaving a container at the port beyond the free days, and you will see it written as phí DEM on many invoices.

Five grammar points for the dock and the phone

1. đã, đang, sẽ and chưa: time without conjugation

Verbs do not change. To show time you add a marker before the verb: đã for done, đang for in progress, sẽ for future. Often a time word such as hôm qua (yesterday) or ngày mai (tomorrow) is enough, and the marker is dropped.

  • Hàng đã đến.
  • Xe đang chạy.
  • Tàu sẽ cập cảng ngày mai.

English speakers often put đã in every sentence because English forces a tense on every verb. Vietnamese does not, and a call full of đã sounds heavy. The most useful single word is chưa: 「Hàng đến chưa?」 means "Has the shipment arrived yet?" and the reply is 「Chưa」 or 「Rồi」.

2. Classifiers: chiếc, cái, tờ, bộ, lô, kiện

Between a number and a noun, Vietnamese often puts a classifier that tells you what kind of thing is counted. Vehicles and ships take chiếc, documents on a sheet take tờ, a full set of papers takes bộ, a batch of goods takes lô, a package takes kiện. Container and pallet are often counted directly with the number.

  • Tôi cần hai chiếc xe đầu kéo.
  • Anh gửi cho tôi bộ chứng từ.
  • Lô hàng có 20 kiện.

Learners either drop the classifier or use cái for everything. Both are usually understood, since 「hai xe đầu kéo」 is common in speech and 「hai chiếc xe đầu kéo」 is slightly fuller. Start by copying the phrasing you hear from the people you work with.

3. Noun order: the main word comes first

In a Vietnamese noun phrase the main noun comes first and the modifiers follow, the opposite of English. So "customs declaration" is tờ khai hải quan, literally "sheet declare customs", and "container storage fee" is phí lưu container.

  • tờ khai hải quan
  • phí lưu container
  • hàng tồn kho

English speakers tend to say hải quan tờ khai, with the modifier first. When you meet a new compound, find the main noun first: it is the word the whole phrase is about, and it opens the phrase.

4. Yes or no questions: không, chưa and à

For a yes or no question you can add không at the end, or chưa when you ask about something you expect to happen. For a question with a question word, use the word where the answer would go: ở đâu (where), mấy giờ (what time), bao giờ (when).

  • Xe có đến kịp không?
  • Container ở đâu rồi?
  • Mấy giờ xe tới?

The classic mistake is 「Hàng đến không?」 when you mean "has it arrived yet?". Không asks whether something is true. Chưa asks whether something that you expect has happened. In logistics you ask about status all day, so chưa is the one you will use most.

5. bị and được: good news and bad news

Vietnamese has two passive-like words. Bị marks something unwelcome that happens to the subject, được marks something favourable or allowed. They go before the verb.

  • Hàng bị trễ.
  • Container bị giữ ở hải quan.
  • Tờ khai được duyệt.

Learners swap the two or leave them out. A shipment that is delayed takes bị, so 「Hàng được trễ」 would sound like a good thing. Also use được for permission: 「Tôi được phép lấy hàng」 means "I am allowed to collect the goods".

Two dialogues: calling a trucker and asking a customs agent

Calling a trucker about a container pick-up

Emma is a coordinator at a forwarder in Ho Chi Minh City. She calls Mr Tâm, an older driver, and uses anh and em, with dạ at the start and ạ at the end, as a younger person would. Read both roles aloud.

SpeakerVietnameseEnglish
EmmaDạ, em chào anh Tâm. Em gọi để nhờ anh lấy container ở Cát Lái ạ.Hello, Mr Tâm. I am calling to ask you to pick up a container at Cát Lái.
TâmChào em. Container số mấy, hãng tàu nào?Hello. What is the container number, and which shipping line?
EmmaDạ, container 40 feet, số container em sẽ gửi qua Zalo ạ.It is a 40-foot container, and I will send the number over Zalo.
TâmEm đã có lệnh giao hàng chưa?Do you have the delivery order yet?
EmmaDạ, đã có rồi anh. Tờ khai cũng đã thông quan, luồng xanh ạ.Yes, I have it. The declaration has also cleared, green lane.
TâmRồi. Em muốn giao đến đâu, mấy giờ?Good. Where and by what time do you want delivery?
EmmaDạ, giao đến kho ở Bình Dương trước 5 giờ chiều ạ.To the warehouse in Bình Dương before 5 p.m.
TâmNếu không kẹt xe thì khoảng hai tiếng. Anh vào lấy lúc 9 giờ.If there is no traffic jam it takes about two hours. I will go in at 9.
EmmaDạ vâng, vậy 9 giờ anh vào lấy ạ. Nếu có chậm, anh gọi em liền nhé.Yes, so you go in at 9. If there is a delay, please call me right away.
TâmRồi, em yên tâm.Okay, do not worry.

Asking a customs agent about a red lane

Emma calls Ms Hương, a customs broker a few years older than her. The call is polite, short and full of the words from the table above.

SpeakerVietnameseEnglish
EmmaDạ, chào chị Hương. Em hỏi về tờ khai của lô hàng sáng nay ạ.Hello, Ms Hương. I am asking about the declaration for this morning's shipment.
HươngChào em. Tờ khai bị phân luồng đỏ rồi.Hello. The declaration was assigned the red lane.
EmmaLuồng đỏ nghĩa là phải kiểm hóa phải không chị?Red lane means it has to be inspected, right?
HươngĐúng rồi em. Hải quan sẽ mở container để kiểm tra hàng thực tế.That is right. Customs will open the container to check the goods.
EmmaKhi nào họ kiểm ạ? Và có tốn thêm phí không chị?When will they inspect it? And are there extra fees?
HươngChắc chiều nay hoặc sáng mai. Có phí nâng hạ và phí lưu bãi nếu hàng nằm lâu, nhưng chị sẽ báo em số tiền cụ thể.Probably this afternoon or tomorrow morning. There are handling and storage fees if the goods stay a long time, but I will tell you the exact amounts.
EmmaDạ, em cần chuẩn bị giấy tờ gì thêm ạ?What other papers should I prepare?
HươngEm gửi chị C/O, hóa đơn và packing list bản gốc nếu có nhé.Send me the C/O, invoice and packing list, originals if you have them.
EmmaDạ, em gửi chị ngay hôm nay.I will send them today.
HươngĐược rồi. Có kết quả chị nhắn em liền.All right. When there is a result I will message you right away.

How to practise when you work in English all day

Start by playing the word set in Falling Stars or Pop It. Because Vietnamese tones change meaning, say each word aloud as you see it, with the tone, and then read the example sentences in the tables above.

Next comes listening. Pick a clip from the Vietnamese podcasts, listen to a sentence, type what you heard and compare it with the original. Phone calls in the logistics industry are fast and often mix Vietnamese with English terms, so typing what you hear shows you where your ear skips. For a structured route see the courses, and use the vocabulary test to see where you stand.

For resources outside WELE: the online dictionaries Vdict and Glosbe are quick for single terms, and the Vietnam Customs website has an English version that helps you match terms to their Vietnamese equivalents. Colloquial Vietnamese from Routledge is a good textbook for the basics. If you want a benchmark, the Vietnamese proficiency practice test on WELE shows where you are, while the level that a given employer needs is worth asking them directly.

Dock and office hours are unpredictable, so a fixed study hour rarely survives the week. Short, regular sessions are usually easier to keep than one long block at the weekend. If your work touches neighbouring jobs, see Vietnamese for factory work and Vietnamese for drivers, or browse all Vietnamese by profession and the logistics page.

Frequently asked questions

How much Vietnamese do I need to work in logistics in Vietnam?

It depends on the role, and no single level applies everywhere. Many foreign staff work mostly in English with Vietnamese colleagues and still need enough Vietnamese to follow phone calls with drivers, customs agents and warehouse staff. Ask your employer which situations they expect you to handle in Vietnamese.

Does it matter whether I learn northern or southern Vietnamese?

Some words and tones differ, for example dạ in the south and vâng in the north, or kẹt xe in the south and tắc đường in the north. For logistics the core terms are shared. Learn the accent of the place you work in, and you will understand the other one with a little exposure.

Do people in the industry use English words?

Yes. Container, booking, packing list, C/O, D/O and cut-off are often said in English inside a Vietnamese sentence. You still need the Vietnamese terms for formal documents and for talking to staff who prefer them, so learn both the English term and the Vietnamese one.

What does a forwarder do compared with a customs broker?

The đại lý giao nhận organises transport, books space and handles documents for the shipment. The đại lý hải quan files the customs declaration for the company. Many firms do both, so ask exactly which stages each party is responsible for.

Should I learn to write the tone marks?

Yes. Vietnamese spelling carries tones and vowel marks, and a missing mark can change the word. Type with a Vietnamese keyboard method such as Telex early, since quotes, emails and documents all need correct marks.

One thing to do this week

Play one round of the set in Falling Stars, then take the sentence 「Hàng đến chưa?」 and ask it aloud, with the right tone on each word, the next time you need a status update.
